How to keep a log of bait stations, traps and monitors

List each customer's devices with their number and location, record each one's check on every visit, and download a report per customer.

Updated 2026-10-25

For pest control: keep each customer's bait stations, rodent traps, insect monitors, glue boards and light traps, each with the number on its label and where it is. On every visit, whoever does the work records each device's check: activity, bait taken, whether it was replaced and its condition. It is part of treatment records, so Keep treatment records must be switched on. See how to keep treatment records.

Add a customer's devices

  1. Open a job for the customer. Under Treatment record, find Devices.
  2. Press Add a device. Type the Number on its label, e.g. B-014, pick the Kind, and type Where it is, e.g. Loading dock, left of door.
  3. Press Save device.

The devices belong to the customer, so they show on every job for that customer. Two devices in service at one customer can't share a number.

Check them on a visit

  1. Open the job. Under Devices, each device says Not checked on this visit until it is checked.
  2. Press Check beside a device. Pick the Activity (None, Low, Medium or High), the Bait taken (None, Some, Most or All) and the Condition (OK, Damaged, Missing, or Blocked or inaccessible). Switch on Replaced if you replaced the bait or board, and add a Note if you like.
  3. Press Save check. To correct it, press Change and save again.

Above the list, Otto counts how many of the customer's devices are checked on this visit.

The report for one customer

Open Treatment records. Under Device report, pick the customer. Every check in the dates picked under Report is listed, with the totals: devices in service, checks, activity, replaced and problems. Press Download CSV for a spreadsheet.

Good to know

  • Each check copies the device's number, kind and location, so moving or renumbering a device later does not change old checks.
  • Once a job is done or cancelled, its checks can't be changed. Reopen the job to change them.
  • If the customer is asked to sign off the job, what they are shown includes the device checks.
  • Otto does not stop a job being marked done while devices are unchecked.

If it doesn't work

  • "This customer already has a device numbered B-014." Use a different number, or open the device that already has it.
  • "Pick one of this customer's devices." The device belongs to another customer.
  • Add a device is grayed out: the job has no customer yet. Give it one first.
  • Devices is not on the job: Keep treatment records is off.
