How to move a rained-out day, fill open jobs and plan your rounds

Jobs → Move a day moves a day's jobs at once and drafts an email to each customer. Open jobs lets the team take unassigned work. Jobs → Recurring lists renewals and finds a regular slot.

Updated 2026-10-25

For a route business that loses a day to rain, snow or a sick crew, e.g. moving all of Wednesday's mowing to Friday. Only an owner or admin can do it. Otto has no weather forecast of its own: you decide the day is lost, and Otto moves it in one press.

Where

Jobs → Move a day, at the top of the page.

Steps

  1. Pick the Day to move. It starts on the day you are looking at.
  2. Pick Move to, e.g. Friday. It must be today or later.
  3. Under Whose jobs, leave Everyone's or pick one person, e.g. only Sam's crew.
  4. Pick Why: The weather, Short of crew or Another reason. It sets the first sentence of the email to customers.
  5. Leave Draft an email to each customer on to tell them, or switch it off.
  6. Check the list of the day's jobs, then press Move 6 jobs (the number is how many will move).

What happens next

  • Each scheduled job moves to the new day at the same time and for the same length, e.g. 08:30 on Wednesday becomes 08:30 on Friday.
  • A job already started, finished or cancelled stays where it was. The list shows it grayed with "Already started: stays", and the result says how many stayed.
  • A visit from a repeating plan moves on its own; the rest of the plan does not change.
  • Each customer gets one email listing every visit of theirs that moved, e.g. "Lawn mowing: from Wednesday 4 March at 08:30 to Friday 6 March at 08:30". The emails wait in Reviews: nothing is sent until someone approves it. Press Open Reviews to go there.
  • A customer with no email address is named at the end, so you can call them.
  • A job booked online moves with its booking, so the customer's own booking page shows the new time and the old time is free again. If that person is not free at the same time on the new day, the job stays where it was and is listed under Booked online and could not move, with the reason. Move it from the job to another time.

Renewals coming up

Jobs → Recurring shows Renewals coming up above your repeating jobs: service plan memberships that renew, and repeating visits whose last visit falls, in the next 14, 30, 60 or 90 days (pick it under Look ahead).

  • A repeating plan with an end, either a last day or a number of visits, shows the day of its last visit, e.g. "Last visit Wednesday, March 25".
  • Press Draft reminder to leave an email to the customer in Reviews: for a membership, that it renews on that day and to reply to change or stop it; for repeating visits, that they are booked until that day and to reply to keep them coming. Once drafted the row says Reminder drafted, and a second one cannot be made for the same renewal.
  • The membership's price shows only to someone whose position sees money figures.

Open jobs the team can take

A scheduled job with nobody on it, from now on, is an open job. When there are any, Jobs shows Open jobs · 3 at the top for everyone who sees Jobs, even someone who otherwise sees only their own jobs.

  1. Press Open jobs. Each shows the job, the customer, the day, the time and the length.
  2. Press Take it. The job is now yours, under the name you go by on the team, e.g. Sam.

The first person to press gets it. Anyone after sees "Sam has already taken this job." A job that has started, finished, been cancelled or whose time has passed cannot be taken. To keep a job from being taken, assign it to someone when you book it.

A job flagged as a treatment (see How to keep pesticide and fertilizer treatment records) says Treatment: needs a licensed applicator. Only someone whose team record has an applicator license number can take it; for anyone else Take it is grayed out with that reason beside it.

Find a regular slot for a new customer

Jobs → Recurring → Find a regular slot (owners and admins). Pick the Day, e.g. Tuesday, the Visit length, How often (every week, every 2 weeks or every 4 weeks) and Who, or leave Anyone.

  • It lists, for each person, the start times free on every one of the next 8 visits, e.g. "Sam 08:00 08:30 14:00", working around their jobs and the visits their repeating jobs will make.
  • Hours are each person's hours under Online booking where set; a day off there is skipped. Otherwise 08:00 to 17:00.
  • When anyone on the team has an applicator license number, switch on Only licensed applicators to find a slot for a treatment round.
  • To book one, press New repeating job below it and pick that day, time and person. The finder itself books nothing.

If it doesn't work

  • "No scheduled jobs on that day to move." Nothing is booked that day, or not for the person picked.
  • "Every job on that day has already started, finished or been cancelled, so none were moved." Move those one at a time from the job itself.
  • "Jobs can only be moved to today or a later day." Pick a later day.
  • "... has no email address. Add one under Contacts first." Add the customer's email, then press Draft reminder again.
  • Move a day is not on the Jobs page: you are not an owner or admin.
  • Open jobs is not on the Jobs page: no scheduled job from now on is without someone on it.
