How to enter a batch of gifts

Key in a stack of checks or envelopes in one go, checked against the total on your deposit slip before anything is saved.

Updated 2026-10-24

After a service, an appeal mailing or a collection, you often have a pile of checks and one deposit slip. Batch entry lets you type them all at once.

  1. Open Giving, then the Gifts tab, and press Batch entry.
  2. Name the batch, such as "Sunday checks 10/18". Each batch name is used once.
  3. Check the date and the method. They apply to every gift in the batch.
  4. Type the Batch total from your deposit slip. It is optional, but it is what catches a typing mistake.
  5. For each check, choose the donor and type the amount. The note is a good place for the check number. Press Add a row for more; a batch holds up to 200 gifts.
  6. The running total shows under the rows. Press Save batch.

If the gifts do not add up to the batch total, Save batch stays off and says what they add up to against the batch total. Nothing in a batch is saved until every row reads: if one row has a problem, you are told which row, and no gift is kept.

Each gift shows its batch name in the gift list. Receipts for a batch are sent from the Receipts tab like any other gift.
