How to claim a rebate from a job

Make a rebate, SPIFF, incentive or MDF claim from a finished job, with its serials and photos, and print the claim packet.

A claim records money a brand owes you for a sale or an install. Otto puts the products, serial numbers and photos together and works out the deadline, then gives you a packet to send. It never submits anything to a partner portal. Someone who manages the business makes claims.

Make the claim

  1. Open the job in Jobs and press Claim a rebate. You can also press New claim on the Claims tab of Partner programs and type the Job number.
  2. Pick the Program. Programs mentioned on the job are marked "on this job".
  3. Choose the Kind of claim: Rebate, SPIFF, Install incentive, MDF or Other.
  4. Set the Install or sale date. Claim by fills in from the program's claim window.
  5. Pick the Invoice, if there is one, and tick the Products the claim covers. If the job's serial-numbered units were put on it in Stock, their Model and Serial number are already filled in; change them if needed.
  6. Set the Expected amount as an Amount or as a % of products.
  7. Press the Install photos you want from the job's own photos and files.
  8. Save. You will see "Claim saved under Partner programs".

Send it and follow it

The Proof list shows Ready or Missing for Invoice, Install photos and Serial numbers. Use Add to the proof list for anything else the brand asks for, such as a registration form.

Open the Claim packet to print or save it, press Copy the details, then Open portal and submit it there yourself. Back in Otto, press Mark submitted. When the money arrives, mark it Paid and type the amount received; if the brand refuses, mark it Denied with the reason. A denied claim can go Back to draft.

The Claims tab counts what is still waiting and shows how many days are left before each Claim by date.

If it doesn't work

  • "A claim is made from a job or an invoice. Pick one." / "Pick the program the claim is with."
  • "That invoice is for a different job."
  • "A product picked is not on this job any more. Reload and pick again."
  • "Pick photos from this job's own files."
  • "Say how much was received." / "Say why it was denied."
