How to bill a client per meeting

For done-for-you outbound. Set a setup fee, a price per qualified meeting, a minimum term and a monthly cap on a client's campaign; your client confirms each meeting on their report page, and Otto works out each month's statement for you to send.

Updated 2026-10-30

If you run outbound for a client and charge a setup fee, then only for the meetings that happen, Client billing on the client's campaign keeps the meetings and works out what each month comes to. It never charges anyone: billing is not switched on, so you send the statement yourself.

Set the terms

Open the campaign under Campaigns (see how to run a cold email campaign) and find Client billing, below Client report. It appears once the campaign has started. Fill in:

  • Setup fee: $500 unless you type another amount. It goes on the statement for the month of the start date, once. Type 0 for none.
  • Price per meeting: what the client pays for each qualified meeting. There is no default. Until you type one, every figure that needs it says price not set, never $0.
  • Minimum (months): the minimum term, 3 unless you change it. Type 0 for none.
  • Monthly cap: the most meetings billed in one month. Leave it blank for no cap.
  • Start date: the first month of the term.

Press Bill this client per meeting. You can change the terms later with Save terms. Stop billing takes the terms away; the meetings are kept and come back if you set terms again.

Terms belong to one campaign: the one whose report link your client has. If you run several campaigns for the same client, each has its own terms and statement, so set the setup fee to 0 on all but one.

What counts as a qualified meeting

A decision-maker, at a business that fits the target you agreed with the client, who shows up. A no-show is free and you can rebook it.

How meetings get on the list

When a reply turns into a meeting, open it under Replies and choose What came of it: meeting booked (or won). That reply goes on the campaign's meeting list once, as Booked. Marking it again, or changing it to won, never adds a second one. Set it back to nothing before anyone has answered and it comes off the list.

Each meeting is in one of these states:

  • Booked: waiting to hear what happened. Not billed.
  • Held: it happened. Billed in the month it was confirmed held, up to the monthly cap.
  • No-show: free. To rebook it, set it back to Booked; the list shows how many times it was rebooked.
  • Disputed: the client says it did not qualify. Not billed until you settle it.

Your client confirms each meeting

Send your client the campaign's report link (see how to run outbound for your clients). Once the terms are set, their report page lists the meetings, with three buttons on each booked one: It happened, No-show and Did not qualify. They do not need to sign in. They can also say Did not qualify about a meeting they marked held, in the same month. Once they have answered, only you can change it.

The buttons work only through the client's current link: a link you replaced, or a link to another campaign, changes nothing. A page with a lot of presses in an hour is asked to wait.

You can set any meeting yourself under Client billing, with the menu on its row. The list says which ones your client answered.

The monthly statement

Client billing shows the statement for this month; pick another month from the menu. Your client sees the same statement on their report page. Each statement shows:

  • the setup fee, in the start date's month only;
  • the meetings held that month, times the price per meeting. Held meetings over the monthly cap are listed and marked recorded, not billed;
  • no-shows that month, listed as free;
  • disputed meetings, listed as not billed;
  • meetings still waiting to hear;
  • the total, or price not set if there is no price yet;
  • where the minimum term stands, such as "Month 2 of the 3-month minimum term."

Press Download CSV to get the statement as a spreadsheet; your client has the same download on their page. Names that a spreadsheet would read as a formula are kept as plain text.

Sending the bill

Billing is not switched on: send this statement yourself. Otto does not charge your client, take a card or make an invoice number. Send the statement, or make an invoice from your own business's Invoices.
