How to keep service history for each unit in a building

Keep each unit of an apartment or office building as its own record on the building's customer card, and link each job to the units it covered.

Updated 2026-10-25

For buildings with many units, such as apartments, condos or offices: the building is one customer, and each unit is its own record with its own service history. A furnace repair in unit 4B then shows on 4B, not on every unit in the building.

Start keeping units

Only an owner or admin can do this.

  1. Open the building's customer card and press Records you keep.
  2. Under Start keeping, press Unit. It comes with these fields: unit number, floor, occupant, access notes, equipment in the unit, and service every (months). Rename, add or remove fields as you like.
  3. Save it.

Add the units

On the building's customer card, under Unit, press Add for each unit and type its unit number and anything else you know.

Link jobs to units

Open a job for the building. Under This job is about, press each unit the job covers. A job can cover one unit or several.

See a unit's history

On the building's customer card, open a unit. It lists every job linked to it, newest first, and its notes. If you filled in Service every (months), the unit shows when its next service is due, worked out from its last finished job.

Good to know

  • Unit is offered first to field service, trades and property businesses. Any business can find it among the other starting points.
  • To keep a unit's appliances separately, e.g. a water heater in unit 4B, add an Equipment record and type the unit under its location.
