How to give a new team member an onboarding checklist

Write one starting checklist for your business, copy it onto each new hire's sheet, and let them tick items off as they go.

Updated 2026-10-25

Give each new rep, tech or crew member a checklist for their first weeks, e.g. Sign the handbook, Ride along with a lead, Set up the phone app. You write the list once; each new person gets their own copy to tick off.

Where

Open Team and press the person at the top of the page. Their sheet opens; the checklist is under Onboarding.

Write the starting checklist

Only someone who manages the team can do this.

  1. On anyone's sheet, under Onboarding, press Write the starting checklist (or Edit the starting checklist).
  2. Type one item per line.
  3. Press Save starting checklist.

Give someone their checklist

  1. Open their sheet. Under Onboarding, press Start from the starting checklist. Each item is copied onto their own list. Pressing it again adds only items they don't already have.
  2. To add something just for them, type it and press Add.
  3. To take an item off their list, press Remove beside it.

Changing the starting checklist later does not change anyone's own list.

Tick items off

The person themselves, or someone who manages the team, ticks each item when it is done. Each ticked item shows who ticked it and when. Untick it if it was ticked by mistake.

Good to know

  • A person sees their own checklist on their own sheet. Others on the team don't see it.
  • Only someone who manages the team can add or remove items.

If it doesn't work

  • Start from the starting checklist is grayed out: there is no starting checklist yet. Write one first.
  • "A checklist holds 40 items at most." Remove an item first.
