How to put equipment on a job and handle repairs

Add serial-numbered units to a job, mark them installed, follow their warranty, and send faulty ones for repair (RMA).

Updated 2026-10-17

Once an item is tracked by serial number, you can say exactly which unit went to which customer. That record is what you need for a warranty question or a rebate claim later.

Put units on a job

  1. Open the job in Work → Jobs and find Equipment.
  2. Press Add from stock.
  3. Scan the serial or MAC, or search what is in stock, and press Add on the unit. It is now On a job.
  4. When it is fitted, press Mark installed. The unit is taken out of your stock quantity as used on that job.
  5. Press Done.

If a unit was added by mistake, open it and press Take off the job. An installed unit that comes back goes Back into stock.

When you claim a rebate from the job in Partner programs, the model and serial of each unit on it are filled in for you.

Warranty

The warranty end date is set when the unit is received, or with Edit details on the unit. The unit and the job's Equipment list show it, or "No warranty recorded". Opportunities lists installed equipment whose warranty ends within 30 days, a good moment to offer the customer an extended plan.

Send a unit for repair

  1. Open the unit (from Units on the item, or with Scan).
  2. Press Send for repair and type the RMA number the maker gave you.
  3. Press Send for repair today. The unit shows In repair (RMA).
  4. When it comes back, press Back from repair, choose where it goes, and press Put back in stock. If the maker keeps it, press Returned to supplier, or Write off with a reason: Damaged, Lost, Stolen or Dead on arrival.

Opportunities also warns you about units that have been in repair for more than 30 days.

Good to know

  • A unit that is returned, sold or written off is finished; its history is kept.
  • Someone who sees only their own jobs sees "A job not assigned to you" instead of another person's job.

If it doesn't work

  • "No serial-numbered unit is in stock. Receive units on the Stock page."
  • "Give the RMA number the maker issued."
  • "Say why: damaged, lost, stolen."
  • "A unit that is installed cannot become sold." — each status only moves to certain others.
