Send owner statements

For units you manage for someone else, set your management fee and send each owner a monthly statement they can also open on their own page.

Updated 2026-10-25

If you co-host or manage homes for their owners, Rentals can work out what each owner is owed every month and give them a statement.

Set your management fee

  1. Open Rentals and choose the Money tab.
  2. Under Management fees, each unit is listed with its owner. The owner is the Landlord or owner you picked on the unit.
  3. Type your fee as a percentage of revenue, a fixed amount a month, or both, and press Manage.

A unit with a fee is managed for its owner and appears on their statement. To take a unit off statements, press Stop.

What a statement shows

Pick the month at the top of the Money tab. Under Owner statements, each owner has their month: units, stays, revenue, your management fee and the Net to owner.

For each unit, the statement lists:

  • Stays that checked in that month, and the Nights booked.
  • Gross bookings and Channel fees, where the payout file or your channel manager recorded them.
  • Revenue paid out, the same figure as Revenue on the Money tab.
  • Cleaning (the turnover jobs' costs) and Repairs and other costs (expenses tagged to the unit).
  • Management fee: your percentage of the revenue paid out, plus the fixed amount.
  • Net to owner: revenue paid out, less cleaning, repairs and your fee.

Every figure comes from the same numbers as the Money tab, so the two always agree. A figure Otto does not know yet, such as revenue before the payouts are imported, shows as —, and so does any total that depends on it. It is never counted as zero.

Print it or email it

  • Open to print opens the statement as a page. Use your browser's print button to print it or save it as a PDF.
  • Email it prepares an email to the owner with the month's figures and a link to their private page. It waits in Reviews until you approve it, like every email Otto sends. Email it stays grayed out, with the reason beside it, when the owner's contact has no email address.

Record what you paid the owner

Under each owner's statement, type the Amount you paid them for that month, the day and a Reference such as a transfer number, then press Record payment. The statement shows Paid to owner and Still to pay (net to owner less what you recorded), and the owner's statement page lists each payment. Press Remove to take one off.

Otto records these payments; it does not send money. Pay the owner from your bank as usual.

What the owner sees

The owner's private customer page (the one link per customer that shows their quotes and invoices) lists their statements for the last six finished months that have money recorded. Above them, Your homes and rent shows each of their homes as it is today: whether it is let, until when, the rent, and whether this month's rent is paid, due or overdue. A month still running has no statement yet. Each statement opens as its own page, in your business's look.

Only people whose position sees money figures can see fees and statements, or send them.
