How to take repair requests from tenants

Give tenants a link to report a repair; each request becomes a job for your team.

Updated 2026-10-18

Every unit in Rentals has its own Report a repair page. A tenant opens the link, says what is wrong, and Otto turns it into a job, so nothing gets lost in texts and voicemails. Tenants do not need an account.

Give a tenant the link

  1. Open Rentals and press the unit.
  2. Under Repair page, press Copy link.
  3. Send it to the tenant, or put it in your welcome pack.

Each unit has a different link, so a request always arrives against the right unit.

What the tenant sees

The page shows your business name, Report a repair and the unit's name, with three boxes: Your name, Email or phone and What needs fixing. They press Send and see "Thank you — (your business) has your request."

What happens next

  • A new job called Repair — (unit name) appears in Jobs, unscheduled, for the tenant on the unit's current lease (or the unit's owner when nobody is renting it). The tenant's name, how to reach them and what they wrote are in the job's notes. Schedule and assign it as you would any job.
  • You get a notice: "Repair reported at (unit): …".
  • The request is listed on the Repairs tab with the unit, what is wrong, who sent it and the day. Its label follows the job: unscheduled, scheduled, in progress, done or cancelled. Press a request to go to Jobs.

With no requests yet, the Repairs tab says "No repair requests".

If it doesn't work

What the tenant may see:

  • "That was sent very fast. Check it and send it again." or "Please send the form again." — they press Send again.
  • "Your name, how to reach you and what needs fixing are all needed."
  • Too many sent — a few requests an hour come from one connection. They can try later, or contact you directly.
  • Too many today — a unit takes up to 20 requests a day.
  • This page is not available — the link is wrong or the unit was deleted. Copy the link again from the unit.
