Send a rental agreement for each short-term stay

Write a stay agreement once in Contracts; Otto fills in the guest, the unit and the dates and leaves it in Reviews for each stay, by hand or on its own.

A short-term guest can sign an agreement before they arrive: house rules, who stays, damage. Write it once, and each stay's copy is filled in from the stay and sent through Contracts, the way any contract is sent.

Write the agreement

  1. Open Contracts and press New template, or Use this starter beside Stay agreement.
  2. Choose Stay agreement as the kind.
  3. Write it. Press a placeholder to add it: {guest}, {unit}, {unit_address}, {check_in}, {check_out} and {nights} come from the stay; {business} and {date} from the business. Any other word in braces is refused when you save.

Send it for one stay

  1. Open Rentals → Stays and press the stay.
  2. Under Stay agreement, press Send agreement.
  3. The email to the guest waits in Reviews. Nothing goes until someone approves it. Its state shows on the stay, and the contract is in Contracts.

The guest needs a contact with an email address: a direct stay takes the guest when it is added, and a stay from a listing's calendar link takes one from Pick the guest's contact.

Send one for each stay on its own

On the Stays tab, switch on Send an agreement for each stay. Then a direct stay added with a guest, and any stay whose guest is picked later, gets its agreement at once, waiting in Reviews. Each stay gets one; an owner stay never does. The switch is grayed out until a stay agreement is written in Contracts.

If it doesn't work

  • "Pick the guest's contact on the stay first." The stay has no guest yet.
  • "... has no email address." Add one to the guest's contact, then press Send agreement.
  • When a stay is added and its agreement could not be sent on its own, a message says why as the stay is saved.
  • "Its agreement was already sent." A stay gets one agreement. If it was declined, voided or expired, Send a new agreement appears.
