How to use a message template

Fill your own wording into an email with the customer's name, amount and link.

Updated 2026-10-14

Templates keep your business's own wording once, so everyone uses it.

  1. Where you write an email to a customer, or send a quote or invoice, press Use a template….
  2. Pick the template. Otto fills in the details from the record in hand.
  3. Read it, change anything you like, and send. The email still waits in Reviews.

The placeholders a template can use are {customer}, {first_name}, {business}, {amount}, {due} and {link}. A placeholder the record has no value for is left as it is and pointed out, so a gap is never filled with nothing. {amount} stays unfilled for a position that does not see prices.

Writing a template

Someone who manages the business writes them under Settings → Message templates: press New template, choose Email, Text or Note, write the message, and press the placeholder buttons to put in {customer}, {amount} and the rest. Anyone on the team can then use them.

If your business has no templates yet, the Use a template… menu does not appear.
