How to set up a job's folders and details

Choose the starting folders, use the AV install set, and keep short facts such as rack location on the job.

Updated 2026-10-17

Each job's Project folder sorts photos and notes into folders, and keeps a short list of Details. Choosing and changing folders needs someone who manages the business; anyone who can open the job can add details.

Choose the starting folders

Before anything is added, the folder shows Start with and two sets:

  • General: General, Site survey, Before, During, After.
  • AV install: Site survey, Pre-wire, Trim-out, Programming, Handover.

An AV business starts with the AV set picked for it. Press the other set to switch. Once the project has entries, the set can no longer be swapped; change the folders one by one instead.

Change the folders

  1. Press Folders at the top of the project folder.
  2. Rename a folder by typing over its name, or move it earlier or later with the arrows.
  3. To add one, type it in New folder and press Add.
  4. To delete one, press its bin. Its entries move to General (Otto asks first when it holds any).
  5. Press Done.

General is where entries go when their folder is deleted, so it cannot be deleted while it holds entries. A job can have 20 folders.

Keep details

Under Details, type a Detail and its Value, for example "Rack location" and "Basement closet", or the display models and the Wi-Fi network's name. Press Add.

Passwords are refused. If a label or value looks like a password, PIN or secret, Otto says "Keep passwords in a password manager, not here." and stores nothing: a project folder is seen by the whole crew, and a stored password cannot be unseen. A model number like KD-65X85K or a network name like Smith-Home-5G is fine.

If it doesn't work

  • "Only someone who manages the business can change a job's folders."
  • "This job already has a folder called Pre-wire." — pick another name.
  • "A job can keep 60 details. Delete one first."
  • "Give the detail a label and a value."
