How to set rates, promo codes and rental rules

Hourly, weekend, monthly and seasonal prices, promo codes, a youngest-driver age, your own questions on the request page, delivery and collection jobs, and a do-not-rent list.

Updated 2026-10-24

A rental's price and the rules it follows are set once and then applied to every rental, at the counter and on your Request a rental page. Only positions that see money see the rates and promo codes.

More kinds of rate

Open a vehicle on the Vehicles tab. Next to the Daily rate and Weekly rate you can type:

  • Hourly rate: for a rental shorter than a day. It never costs more than one day.
  • Weekend rate: one price for a rental picked up on a Friday or a Saturday and back by noon on the Monday after.
  • Monthly rate: a price for each 30 days. Days left over are priced by the day or the week.

Leave a rate empty to not offer it. Each rental is priced at whichever comes out cheapest for its dates.

Change prices for many vehicles at once

On the Vehicles tab, press Change prices. Pick a class, or All classes, type a percent (10 raises prices by a tenth, -15 lowers them), and press Change prices. Every rate those vehicles have changes by that much, rounded to the cent. Retired vehicles, and rentals already booked, keep their prices.

Seasons

A season makes the days inside it cost more or less.

  1. Open the Rentals tab. Rental settings is at the bottom, with Rules in it.
  2. Under Seasons, press Add a season.
  3. Type a name, the first and last day as month and day (like 06-01 and 08-31), and the percent: 25 for a quarter more, -20 for a fifth less.
  4. Press Save rules.

A season can run over the new year, such as 12-20 to 01-05. When only some days of a rental fall in a season, only those days change. A season that costs more is its own line on the invoice; one that costs less comes off as the invoice's discount.

Promo codes

  1. In Rules, under Promo codes, press Add a promo code.
  2. Type the code, the amount off, and choose % off or off (an amount). The last day is optional.
  3. Press Save rules.

Type a code under Promo code when you book at the counter. When you have at least one code, your Request a rental page has a Promo code box too. A code that does not exist, or has passed its last day, is refused with a reason, and the renter can fix it or leave it empty. The amount comes off the rental's price and shows on the rental.

Your extras

Under Your extras in Rules, press Add to your extras for each one you offer, such as a child seat a day or delivery once, and press Save rules. When you book a rental, each shows as a button beside Add an extra; press it to add that extra with its price. You can still change the price on that rental.

Reminders before pick-up and return

Type a number of hours under Remind renters by email in Rules and press Save rules. That many hours before a confirmed rental's pick-up, and before an out rental's return, Otto prepares an email to the renter: when and where to pick up and to bring their license, or when it is due back. Each one waits in Reviews for you to approve before it is sent, and each rental gets each reminder once. A renter with no email address gets none. Leave the box empty to stop them.

A youngest driver

Type an age under Youngest driver in Rules and press Save rules. Then:

  • The license box asks for the Date of birth on the license. Check-out waits until it is typed, and is refused while the renter is younger than that age on the pick-up day.
  • Your Request a rental page asks the Driver's age, and turns away a request below it, saying how old drivers need to be.

Only the date of birth is kept with the license check; the license number and pictures of it still are not.

Your own questions on the request page

Under The request page also asks, tick Driver's age, Second driver's name or Delivery address. Under Your own questions, type up to three more, one a line, such as "Flight number". Press Save rules. The answers show on the rental when it arrives.

Delivery and collection

When a rental has an address to deliver to, typed at the counter or on the request page, confirming it makes two jobs on the Jobs calendar: Deliver — (vehicle) at the pick-up time and address, and Collect — (vehicle) at the return time, from the collection address or the same one. A request from your page gets its jobs only when you press Confirm. Press Delivery job or Collection job on the rental to open them.

Branches and one-way rentals

Under Branches in Rules, type each place you rent from, one a line, and if you like a One-way fee for a rental returned to a different branch. Press Save rules. Then:

  • A new vehicle is given a branch, and each vehicle shows where it is.
  • New rental asks Pick up at and Return to instead of a place. Returning to a different branch adds the one-way fee to the price, and a line on the invoice.
  • When a one-way rental is checked in, the vehicle stays at the branch it came back to.
  • Your Request a rental page asks where to pick up and return, and offers only vehicles at that branch (and any with no branch yet). The prices it shows include the one-way fee.

Under Prices by branch (for positions that see money), type a percent for any branch: a rental picked up there costs that much more, or less with a minus. Leave it empty for the vehicle's own rates. A branch that costs more is its own line on the invoice; one that costs less comes off as the invoice's discount.

To move a vehicle yourself, open it, pick a branch under Move to and press Move it there. It shows at the new branch straight away, and a job called Move — (vehicle) to (branch) is made for whoever drives it there. A vehicle out on a rental cannot be moved.

A do-not-rent list

  1. Open one of the renter's rentals and press Do not rent to (name). Only someone who manages the business can.
  2. Under Why, say what happened, and press Add to the list.

The rental shows the reason in red. While the renter is on the list, a new rental for them cannot be booked, a request from them cannot be confirmed and their rental cannot be checked out. A request from them on your page still arrives, so they are told nothing, and its notice says it cannot be confirmed. Press Take off the do-not-rent list to undo it.

A check-out checklist and photos

Under Check-out checklist, type the things to check at every handover, one a line. Each is ticked on the rental before Check out works. Under Photos at each handover, type how many photos each check-out and each check-in needs. See How to check vehicles out and in.

If it doesn't work

  • "There is no promo code …, or it has ended." — check the code under Promo codes.
  • "Give … a percent off or an amount off, one of the two."
  • "A promo code is 3 to 30 letters, numbers, dashes or underscores."
  • "The start of … is a month and day like 06-01." — type the month first, then the day.
  • "This renter is on your do-not-rent list: …" — a manager can take them off it from the rental.
  • "The renter is … at pick-up; drivers here are … or older."
